EMA has proven expertise in planning, organizing and staffing meetings of all sizes. The EMA staff has organized meetings for 10 to 4000 individuals in the local, regional and national arenas. We work closely with our association committees to assure that all event details are handled on-time and within budget. EMA has worked with exhibitors, entertainers, audio-visual and hotel personnel to produce many successful meetings.

Trade Shows/Conferences

  • Work with the Trade Show/Conference Committee on the planning, and budgeting of the event
  • Arrange for and negotiate contracts for meeting site, meals, audio-visual equipment, drayage, and other program items as needed
  • Coordinate the design, graphics, layout, typesetting, printing and distribution of the vendor solicitation package
  • Receive and process vendor registrations
  • Coordinate the design, graphics, layout, typesetting, printing and distribution of the promotional flyers to mailing list provided by the association
  • Receive and process attendee registrations
  • The Association will retain all rights to any logo designs, trademarks, tag lines or design themes developed for the Trade Show/Conference.
  • Identify, obtain bids and propose outside consultants and vendors. (i.e. drayage firm, audio/visual firm, etc.)
  • Respond to all inquiries regarding registration information
  • Meet with hotel representatives and finalize any details for meeting rooms, exposition space, sleeping rooms, counts for food or room nights, parking, etc. and coordinate all room set-ups, audiovisual and staging requirements.
  • Provide on-site management and registration in cooperation with the Trade Show/Conference Committee and with the Trade Show/Conference Committee’s oversight
  • Coordinate on-site registration of all attendees, exhibitors, VIPs and guests.
  • Coordinate the set-up and tear-down of all exhibits and signage

Educational Seminars, Workshops and Special Events

  • Arrange for meeting site, meals, audio-visual equipment, and any other program items as needed
  • Work with program committee and treasurer to establish a budget for each event
  • Coordinate preparation of brochures, announcements and registration material
  • Send materials to membership and prospect lists as requested
  • Receive, process, and prepare lists of registrants showing membership and payment status
  • Prepare name badges for attendees and administer on site registration,
  • Provide on-site coordination and registration
  • Prepare sign in roster and record final attendance
  • Record and deposit all payments received and send statements to attendees when necessary
  • Provide final accounting including income statement and profit/loss report.
  • Coordinate photography of events and meetings for use in the association's
  • newsletter as required

Membership Meetings

  • Arrange for meeting site, meals, audio-visual equipment, and any other program items as needed
  • Coordinate preparation of meeting notices
  • Send meeting notices to membership and prospect lists as requested
  • Follow up to remind members of meetings as needed
  • Receive and process registrations
  • Prepare lists of registrants showing membership and payment status
  • Prepare name badges for attendees and administer on site registration
  • Provide on-site coordination and registration
  • Prepare sign in roster and record final attendance

  • Coordinate photography of events and meetings for use in the association's

Board Meetings

  • Coordinate site and make arrangements for meetings
  • Prepare agenda under the direction of the president and distribute to board
  • members prior to date of meeting
  • Send notices of meetings, place and time to board members
  • Distribute financial material to the board
  • Record minutes of the meeting
  • Distribute the minutes of the meeting to the board members
  • Follow up with board members and others on action items as needed
